Job Description :
As an Office Administration Assistant within Internal Corporate Services, you will be an essential part of a dedicated problem-solving team.
Your job will include providing administrative support to our employees, including using business software applications to prepare reports, receiving and routing incoming calls and emails to appropriate parties, arranging business trips, tracking expenses, and coordinating meeting arrangements.
You will play a vital role in facilitating day-to-day operations and facilitating the achievement of strategic objectives from inception through implementation.
Skills and responsibilities
- Operating the keyboard and handling activities in the reception area.
- Act as the first point of contact with the company and office for visitors and callers.
- Handling internal and external inquiries and carrying out administrative activities of the front desk.
- Commitment to the budget allocated to the office’s administrative function.
- Welcoming visitors and ensuring that all callers and visitors are dealt with quickly, courteously, and accurately.
- Providing comfort to visitors, meeting them at the appropriate time by their host, guiding them to the appropriate room and assisting them with parking when necessary.
- Operating the switchboard screen, directing incoming phone calls, receiving messages, and answering incoming inquiries.
- Maintain records of visitors and callers.
- Responding to inquiries from visitors and callers and referring them to the appropriate person.
- Perform general maintenance of the reception area.
- Manage customer room reservations.
- Manage office catering invoices and ensure they match cost centers and obtain the necessary approvals.
- Smart office parking management and reservation support.
- Perform other administrative duties as needed.
- Manage and monitor the mailroom for external courier and courier services with the assistance of office administrators.
- Grant temporary access cards to employees when necessary.
- Manage open access and ensure the necessary paperwork is submitted.
- Working to provide high-quality internal service and ensuring that all administrative support requirements are met.
- Act as a key resource and point of contact with other functional areas of the business, building cross-functional relationships as needed.
